This policy explains how Fluxt Ltd ("we", "us"), which operates ChairTender, handles personal data. It is written in plain language for transparency and is being finalised alongside our data processing agreement. If anything here is unclear, please contact us.
Who we are
ChairTender is a booking and messaging service for barbershops, operated by Fluxt Ltd, registered in England and Wales (company no. 17026767). Contact: hello@chairtender.com.
Our roles
- For a barbershop's client data (the people who book appointments), the barbershop is the data controller and we act as its data processor. We handle that data only to provide the service on the shop's behalf.
- For our own business contacts (for example, when a shop owner emails us or signs up), we are the controller.
What we collect
- From this website: only what you choose to send us, such as your name and email when you get in touch. This site uses no advertising or tracking cookies.
- Within the service, on a shop's behalf: a client's name and mobile number, an optional email, appointment details, and the WhatsApp or SMS messages exchanged with the shop's booking assistant. A mobile number is the only required identifier.
How we use it
To run the booking service: checking availability, making and managing appointments, sending booking confirmations and reminders, and letting the shop's assistant answer messages. We do not sell personal data, and we do not use a shop's clients for our own marketing.
Service providers we rely on
We use a small number of trusted providers to deliver the service, including Twilio and Meta (WhatsApp and SMS messaging), a large language model provider (the booking assistant), a transactional email provider (booking confirmations), Stripe (payments), and Google Cloud (hosting). These providers process data on our and the shop's instructions. Payment card details are handled entirely by Stripe and never touch our servers.
Retention
Conversation logs are kept for a limited period and then pruned or archived on a schedule. Appointment records are kept as ordinary business records for the shop. A shop can export or delete its client data at any time.
Your rights
You have rights over your personal data, including access, correction, export, and deletion. For data held on a shop's behalf, please contact the shop, or contact us and we will help. To stop receiving messages, reply STOP at any time.
